Privacy Policy

Light Unbound — Privacy Policy Effective date: October 1, 2026 · Last updated: October 1, 2026

1. Who we are

Light Unbound is the business name of Rachelle Tanguay, a sole proprietor based in Ottawa, Ontario, operating as Light Unbound Coaching ("Light Unbound," "we," "us"). We offer leadership and life coaching, and consulting, including in organizational change management and the human side of AI adoption.

This policy explains how we collect, use, share and protect personal information when you visit lightunbound.com, contact us, book a call, buy a resource, or work with us as a coaching client, a consulting client, or a participant in a consulting engagement. It is written to meet Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25).

2. Our privacy officer

Rachelle Tanguay is responsible for protecting personal information at Light Unbound and for this policy.

Contact her with any question, request or complaint about your personal information.

3. Our commitments

  • We collect only what we need for a stated purpose.

  • We do not sell or rent personal information, and we do not share it for advertising.

  • We never use coaching content for marketing, testimonials or case studies without the written permission of the person(s) affected.

  • We keep personal information only as long as needed, then delete it securely.

  • We tell you plainly which technology tools, including AI tools, handle your information.

4. What we collect and why

Website visitors What we collect: IP address, browser and device type, pages visited, and cookies needed to run the site. Why: To operate, secure and improve the website.

People who contact us or book a call What we collect: Name, email, phone (optional), organization, role, your message and booking details. Why: To respond, schedule and prepare for the conversation.

Buyers of a resource What we collect: Name, email, billing address and order details. Card details go directly to our payment processor; we never see or store full card numbers. Why: To process the order, deliver the resource, issue receipts and keep tax records.

Coaching clients What we collect: Contact details, intake questionnaire answers, goals, session notes, and anything you choose to share in sessions. This may include sensitive information about your health, wellbeing, relationships, family or work. Why: To deliver coaching, track progress, and meet professional and ethical standards.

Consulting client contacts What we collect: Business contact details, role, communications, and contract and billing details. Why: To scope, deliver, invoice and manage the engagement.

Participants in a consulting engagement (for example, an interviewee, workshop or survey participant at a client organization) What we collect: Name, role, responses and, with consent, audio or video recordings and transcripts. Why: To deliver the analysis and recommendations the client organization engaged us for.

Newsletter or updates subscribers What we collect: Name, email and a record of your consent. Why: To send the updates subscribed to.

We may also keep information we are required to keep by law, such as financial records for the Canada Revenue Agency.

5. Consent

We rely on your consent to collect, use and share personal information, except where the law permits or requires otherwise.

  • Express consent is obtained in writing (usually electronically) before we collect sensitive information, record a session or interview, or send you marketing emails.

  • Implied consent may apply where the purpose is obvious — for example, using your email address to reply to your message.

  • You may withdraw consent at any time by contacting our privacy officer, subject to legal or contractual limits. Withdrawing consent may mean we can no longer provide a service.

6. Coaching confidentiality

What you share in coaching stays confidential. We follow the International Coaching Federation (ICF) Code of Ethics.

  • Sponsored coaching: When an employer or other organization pays for your coaching, we agree in writing, with you and the sponsor, on what may be reported (for example, attendance or overall progress). We do not share session content with a sponsor without your permission.

  • Limits of confidentiality: We may disclose information without consent only where required or permitted by law — for example, a court order, or where we believe there is a serious and imminent risk of harm to you or someone else.

  • Coaching is not therapy. If a topic is better served by a regulated health professional, we will suggest a referral.

7. Consulting engagements

In consulting work, we often receive personal information from, or collect it on behalf of, the client organization.

  • Our contract with the client sets out how that information is handled, including confidentiality, security and deletion at the end of the engagement.

  • Before an interview, focus group or survey, participants are told the purpose, who will see the results, whether it will be recorded, and how long records are kept. Participation is voluntary.

  • Findings are reported in aggregated or de-identified form unless a participant agrees otherwise.

8. How we use technology and AI tools

We use a small number of business-grade tools to run the practice. Some use artificial intelligence (AI) to help with tasks such as transcribing and summarizing meeting notes, organizing research, and drafting documents.

  • Human review: Rachelle reviews all AI-assisted work. AI does not make decisions about you. We do not use automated processing to make decisions that affect you.

  • No training on your information: We use business or enterprise versions of AI tools whose terms do not allow the provider to use our data to train their models.

  • Recording and transcription: We record or transcribe a session, interview or meeting only with the consent of the people present. You can say no, and you can ask us to stop at any time.

  • What stays out of AI tools: We do not enter government identification numbers, banking or card details, or health information about consulting participants into AI tools.

9. Who we share information with

We share personal information only as needed to deliver our services, and only with service providers bound by contract or terms to protect it.

  • Google Workspace (Google LLC) — email, calendar, file storage, video meetings, meeting transcription and notes

  • Anthropic (Claude) — AI assistant for drafting, research and summarizing

  • Wix.com — website hosting, contact forms, online store and resource delivery

  • Calendly — booking calls and sessions

  • HubSpot — managing client and prospect contacts

  • Wave Financial — invoicing, payments and bookkeeping

  • Canva — designing materials

We may also share information with professional advisers (such as our accountant, lawyer or insurer) under a duty of confidentiality, or where required by law. If the business is ever sold or restructured, personal information may transfer to the successor under the same protections.

10. Storage outside Canada and Quebec

Most of our service providers store data in the United States, and some may use other countries. When your information is stored or processed outside Canada, it is subject to the laws of that country, and authorities there may be able to access it.

Before sending personal information outside Quebec, we assess whether it will receive adequate protection, as Quebec law requires. You can contact our privacy officer to learn more about our service providers outside Canada.

11. Cookies and similar technology

Our website uses cookies that are strictly necessary for it to work and stay secure. We do not use advertising or tracking pixels. The standard wording in our cookie banner is provided by Wix's consent tool; we do not use advertising cookies. Any analytics or other optional cookies are off by default and set only if you accept them through the cookie banner. You can change your choice at any time using the cookie settings icon shown on every page.

12. How long we keep information

  • Contact form and discovery-call details (no engagement follows): 12 months after last contact

  • Coaching session notes and intake forms: 2 years after the coaching relationship ends, then deleted. You may ask for earlier deletion

  • Session, interview or meeting recordings: deleted within 30 days after notes or transcripts are finalized

  • Consulting working files and transcripts: returned or deleted at the end of the engagement, or as the client contract states

  • Contracts, invoices and financial records: 6 years after the end of the tax year they relate to (Canada Revenue Agency requirement)

  • Newsletter subscriber records: until you unsubscribe, plus a consent record kept as CASL requires

  • Records of privacy incidents: at least 24 months (PIPEDA requirement)

When the period ends, we securely delete or anonymize the information.

13. How we protect information

We use safeguards that match the sensitivity of the information, including:

  • two-step verification and a password manager on every business account;

  • encrypted devices with automatic updates and screen locks;

  • access limited to named people and shared files set to expire;

  • email authentication (SPF, DKIM and DMARC) to prevent spoofing of our domain;

  • keeping client information in business accounts only, never personal ones;

  • using only business versions of AI tools (currently Anthropic's Claude and Google's Gemini in Google Workspace), whose terms do not allow the provider to use our data to train their AI models.

No system is completely secure. If a privacy breach creates a real risk of significant harm, we will notify you, the Office of the Privacy Commissioner of Canada and, where it applies, Quebec's Commission d'accès à l'information, as the law requires.

14. Your rights

You have the right to:

  • ask whether we hold personal information about you, and get a copy;

  • ask us to correct information that is inaccurate or incomplete;

  • withdraw consent;

  • ask us to delete information, or stop sharing it, where the law allows;

  • receive your computerized personal information in a structured, commonly used format (Quebec residents);

  • know which service providers hold your information.

To make a request, email privacy@lightunbound.com. We may need to confirm your identity. We will respond within 30 days and tell you if we need more time, as the law allows. Requests are free.

US residents: Depending on your state, you may have similar rights to access, correct and delete your information. We do not sell or share personal information for targeted advertising. Contact our privacy officer to use any of these rights.

15. Children

Our services and website are intended for adults. We do not knowingly collect personal information from anyone under the age of 18.

16. Complaints

17. Changes to this policy

We review this policy at least once a year. If we make a significant change, we will update the date above and post a notice on the website. Where the law requires, we will ask for your consent again.
